Every attendance debate in an Indian company eventually collapses into one question at the gate: how do 600 workers get through in the eight minutes before the shift bell? Time-office software gets argued about in meeting rooms; attendance is decided by the queue. This guide takes the position that an RFID attendance system belongs in almost every Indian office and factory — but as the throughput layer underneath face or fingerprint verification, not as a replacement for it. It also says the uncomfortable part out loud: a card-only punch proves a card was present, not a person.

The queue is the real problem

Do the arithmetic before you look at any brochure. A fingerprint punch on a manual workforce takes 2–4 seconds when it works first time, and a meaningful share of punches do not — worn ridges on machinists and loaders, grease, cement dust, monsoon-damp hands, cuts. Add retries and a supervisor override queue and 3 seconds becomes 6. At 6 seconds a head, 600 workers through two lanes is 30 minutes of paid time spent standing in line, twice a day, plus a supervisor hand-writing entries for everyone the sensor rejected.

An RFID card or wristband tap is 0.3–0.5 seconds with a very low failure-to-acquire rate, and it does not care about wet hands or gloves — on a cold-store or chemical-handling line, not removing gloves is itself the win. That single property, throughput, is what RFID contributes to attendance.

The part vendors skip: a card proves the card was there

Any vendor selling card-only punching as a fraud control is misleading you. Handing your card to a friend on the bus is the oldest attendance fraud in Indian industry and it is trivially easy. If you run contract manpower and pay per head-hour, card-only attendance is close to an invitation to inflate the bill.

Cheap cards make it worse. A 125 kHz EM-format card — still the default in low-bid tenders — carries a fixed number and no cryptography, and can be cloned in seconds with a duplicator costing a couple of thousand rupees. MIFARE Classic is better, but its Crypto1 cipher has been publicly broken for years. If a card is your credential, use MIFARE DESFire EV2/EV3 with AES and diversified keys, and confirm the integrator programs site keys instead of leaving factory defaults. That costs roughly ₹60–150 more per card — the cheapest security decision in the project.

So RFID is not the answer to "who really came to work today". It is the answer to "how do we verify identity fast enough that people actually use the system".

The layered model: RFID for throughput, biometrics for assurance

The design that works in Indian conditions is a card tap that identifies the employee in milliseconds, followed — only where risk justifies it — by a 1:1 biometric check against that one person's stored template. A 1:1 verification is faster and more accurate than a 1:N search across 4,000 faces, because the system already knows who it is checking. The card does the searching; the biometric does the proving.

The snapshot row is under-sold. A card reader paired with a camera that grabs a frame on every punch costs a fraction of a face terminal and changes behaviour, because workers know a photo exists. Where RFID attendance is the wrong answer

Indian site realities that break door projects

Power comes first. Every controller needs battery backup sized for your real outage pattern, and every door on an escape route must fail-safe — release automatically on a fire alarm — which contradicts the instinct to make doors fail-secure. Document that per door before installation, not during the fire NOC inspection. Network second: readers must buffer punches locally and sync when the link returns, because a plant whose attendance vanishes during a leased-line outage gets abandoned by the time office within a month. Then dust and heat, where IP65 readers and shaded mounting on west-facing gates are not luxuries. Finally metal — a reader screwed straight onto a steel gate frame or turnstile pillar reads badly unless it is spaced or on-metal rated. A survey catches that in an hour; a commissioning failure costs a week.

Attendance data is personal data

Under India's Digital Personal Data Protection Act, 2023, employee attendance and movement logs are personal data needing a stated purpose, a retention period and reasonable security. Biometric templates raise the stakes: a leaked card number is reissued in a minute, a leaked face template is permanent. That is a substantive argument for the layered model, not a compliance footnote — a card-first design lets you enrol biometrics only where they are genuinely needed, so you hold fewer templates at all. Publish an employee notice, set a retention window for raw read logs (12–24 months is common), keep templates encrypted and on-premise where you can, and check where any cloud component stores Indian employee data.

Payroll integration decides whether the project sticks

Nobody buys a door. They buy a timesheet nobody argues about. The system has to encode your real rules — night shifts spanning midnight, weekly off and comp-off, late-in grace, half-day thresholds, overtime slabs, the muster roll and OT register your state factory rules require — and push clean data into whatever you run, from Darwinbox or Keka to Zoho People, greytHR or SAP SuccessFactors. Insist on a two-way sync of the employee master: a system where HR adds a joiner and the time office adds them again will drift within a quarter.

Exceptions matter as much as the happy path. Forgotten cards, gate-pass exits and missed punches happen daily; if fixing one needs an email chain, supervisors keep a parallel register and data quality dies quietly. A regularisation screen with an approval trail is worth more than any hardware feature. The same platform should also produce a live muster during evacuation drills — knowing in three minutes who is still inside a building is often what gets a plant head to sign.

The same badge does more than punch a gate

Once employees carry a credential and readers are on the network, new people-tracking use cases get cheap. Visitor management with time-bound, area-restricted temporary badges is the obvious first one. A rollout that survives the first shift change

  1. Pick one gate and one shift — the highest-volume entry point, where the throughput case is proven or disproven.
  2. Clean the employee master first. Duplicate and stale records cause more go-live pain than any reader will.
  3. Survey before you quote: cable routes, metal surfaces, power points, door types, escape-route classification. An hour per door.
  4. Run parallel for two to four weeks, reconciling the old register daily. Every mismatch is a rule you have not encoded yet.
  5. Measure four numbers: peak queue clearance time, punch exception rate, payroll disputes per cycle, and time to produce a full muster.
  6. Scale by risk tier. Card-only on interior and low-risk doors, card plus face on payroll-critical and restricted ones. Do not put a face terminal on a stationery-room door because it came in the package.
