RFID System Cost in India 2026: What Rs 5 Lakh, Rs 20 Lakh and Rs 50 Lakh Actually Buy
Ask three Indian vendors to quote "an RFID system" and you will get three numbers that differ by 5x, none of them wrong. The gap is rarely the tags. It is what each vendor silently included or left out: antennas, shielding, software licences, ERP integration, the site survey, training and the AMC that starts the day the warranty ends. This post is a bill of materials, not a price list. It walks through three worked budgets, roughly Rs 5 lakh, Rs 20 lakh and Rs 50 lakh, line by line, so you can read any quote and see what is missing.

The eight lines every RFID quote should have
If a quote does not show all eight of these, ask why. A missing line is either bundled (fine, but you should know the split) or excluded (which is where the surprise invoice comes from).

Two things stand out. Fixed readers can be zero (a handheld-only audit system) or nearly half the budget (a portal-heavy warehouse). And tags are a consumable: the year-1 number is a starting stock, not the lifetime cost. Both are the main reasons headline prices for "RFID system cost in India" range from a few lakh to a few crore.
Budget 1: about Rs 5 lakh, one store or one-site asset audit
This is the entry point for a single apparel or footwear store, a small showroom, or a company that wants to audit roughly 5,000 fixed assets across one building. The design principle is handheld-first: no portals, no fixed antennas, one desktop reader for encoding.

What Rs 5 lakh buys, then, is a store-level RFID stock-count setup that completes a full count in under an hour instead of a monthly count that takes a day, or a fixed-asset register that is verified rather than assumed. What it does not buy is real-time visibility: nothing knows an item has moved until someone scans. For most single-store operators that is the right trade. Budget 2: about Rs 20 lakh, a mid-sized warehouse
Picture a 25,000 to 40,000 sq ft distribution warehouse with three or four dock doors, moving somewhere around 60,000 tagged cartons or pallets a year, running SAP Business One, Tally Prime or a mid-market WMS. Here the goal shifts from counting to controlling: know what left through which door, and reconcile it against the dispatch order without a person scanning every carton.

Notice that two portals cost more than four handhelds, and that tags are the largest single line. Budget 3: about Rs 50 lakh, multi-site and portal-heavy
This is a three-site network: a central warehouse plus two regional depots, or a plant plus two finished-goods stores, with six dock-door portals, one conveyor tunnel reader and eight handhelds, all reporting into one dashboard and one ERP.

At this level portals are nearly 40% of spend and tags are 20%. The design questions that move the number by lakhs are: how many doors genuinely need a portal versus a handheld check, whether the conveyor tunnel can be avoided by reading at pack-out, and whether one central software instance can serve all sites (it usually can, and it halves the software and integration lines compared with three separate installs).
Why UHF portal quotes vary 10x
The same "dock-door portal" line can be quoted at Rs 60,000 or Rs 6 lakh, and both vendors are describing something real. Portal cost is driven by four things, and quotes rarely spell them out.
- Antenna count and grade. A 2-antenna, single-side portal reads a hand-carried carton; a 4- to 8-antenna, dual-side portal reads a mixed pallet on a forklift at speed. Each antenna adds hardware, cabling and tuning time.
- Shielding and read-zone control. Indian docks are metal-heavy and doors are often three metres apart. Without RF-absorbing panels or careful antenna angling, door 2 reads door 1's pallets. Shielding can add Rs 30,000 to Rs 1 lakh per door and is the most common item quietly excluded from a low quote.
- Triggering and direction sensing. A portal that just reads everything in range gives you tag sightings; a portal with light curtains, motion sensors and directionality logic gives you "left the building through door 3 at 14:12". The second is what an ERP can act on.
- Tuning and commissioning time. Power levels, session settings and antenna angles have to be set on site, per door, with the real forklift and real pallets. A vendor who budgets one hour per portal and one who budgets one day per portal will deliver very different read rates.
The Rs 2.5 to 5 lakh per portal band in the budgets above assumes a 4-antenna, shielded, triggered portal with proper commissioning. HSN codes and GST: what procurement will ask
Every tender BOQ and most corporate purchase orders now ask for the HSN or SAC per line, and this trips up first-time buyers because an RFID system spans goods and services. The table below is the common classification we see on Indian invoices; the rate on all of these lines is the standard 18% slab. The September 2025 GST rate rationalisation moved many goods between slabs, but on the invoices we have seen since, RFID hardware, software and services have continued to attract 18%. Confirm the exact code with your vendor and your CA, since sub-heading practice varies between suppliers and rate notifications change.

Two practical points. First, if your organisation is GST-registered and the system is used for business, input tax credit is normally available on all of these lines, so the ex-GST figures above are your real cost; a Rs 20 lakh system invoices at Rs 23.6 lakh and you claim back Rs 3.6 lakh. Second, GST is charged on the whole contract, so a vendor who bundles everything into one "RFID system" line at 18% is not doing anything wrong, but a per-line invoice makes AMC renewals and spares orders far easier to process later.
Hidden costs the three budgets do not show
- Tags after year 1. Labels are consumed. A warehouse tagging 60,000 cartons a year spends the tag line again every year. Ask for a two-year tag price hold in the contract.
- Master-data cleanup. If your item master has 12,000 SKUs and 3,000 are duplicates or dead, the integration line will not fix that. Budget internal time; it is often the longest task in the project.
- Network and power at the dock. Portals need PoE or mains and a switch port at each door. Older warehouses may need Rs 20,000 to Rs 60,000 of electrical and network work per door that no RFID vendor will quote.
- Printer and ribbon. If you encode labels in-house, an RFID-capable label printer (roughly Rs 1.5 to 3.5 lakh indicative) and its ribbon consumption belong in the budget. Pre-encoded labels from the vendor avoid the printer but cost more per label.
- Handheld batteries and drops. Plan on one spare battery per device and a 10% spares pool for handhelds; a rugged handheld out for repair for three weeks is a real operational cost.
- Re-tuning after layout changes. Move a rack, add a mezzanine, or change pallet patterns and the portal read-zone changes. A good AMC covers one or two re-tuning visits a year; check that yours does.

When the budget says use barcode instead
Honest answer: for inventory and warehouse use, below about Rs 3 lakh, or where item value is low and items are handled one at a time anyway, RFID is usually the wrong tool. A single small store with 3,000 SKUs and one billing counter gets 90% of the benefit from a disciplined 2D barcode process at a fifth of the cost. A warehouse where every carton is already scanned individually at receipt and dispatch, and where the pain is data quality rather than scanning speed, should fix the process before adding readers. And any use case that needs to read through liquids or dense metal without redesigning the tag placement will burn budget on tuning that a barcode simply does not need.
The signals that RFID pays are bulk reads (many items per second), no line of sight (sealed cartons, mixed pallets, garments on hangers), and a real cost attached to not knowing (stock-outs, shrink, audit failures, missed dispatch windows). Reading your next quote
Take any RFID quote and map it against the eight lines. If tags, readers and software are there but integration, survey, training and AMC are not, add 20 to 30% to get the real number. If portals are quoted, ask for antenna count, shielding and commissioning hours per door. And if the tag line is the largest, that is normal for a warehouse and unusual for an asset audit; a mismatch usually means the use case has been misread.

What is the HSN code and GST rate for RFID tags and readers in India?
RFID tags, labels and cards are usually invoiced under HSN 8543 7011 (proximity cards and tags) at 18% GST. Readers are classified under 8543 70 sub-headings or 8471 depending on the vendor, also at 18%, and software, integration, survey and AMC are billed as services under SAC codes at 18%. GST-registered businesses can normally claim input tax credit on all of these lines, so the ex-GST figure is the real cost.
Does the budget need to include software and integration, or just hardware?
Include both.
