Mandatory gold hallmarking now covers 380 districts, and every hallmarked piece carries a six-character HUID. Inside the shop, that HUID has become the natural primary key for each piece, and any counting, billing or audit system worth buying has to speak in HUIDs. This guide explains how an RFID jewellery tag is tied to a HUID, how the link is pulled at billing, how a desktop reader replaces the weekly manual count, and where tags on gold and silver honestly struggle.

What the HUID is, and what it is not

The Hallmark Unique Identification is a six-character alphanumeric code laser-marked on each article at a BIS-recognised Assaying and Hallmarking Centre (AHC), alongside the BIS logo and the purity mark. It is unique to that one article, and a customer can look it up in the BIS CARE app. Since the sixth phase of the mandatory order took effect in March 2026, hallmarking with HUID applies across 380 districts and six caratages (14K to 24K). Silver received a HUID-based scheme from September 2025, though for silver it remains voluntary.

Two things the HUID is not. It is not machine-readable at any useful distance: it is a tiny engraving you inspect under a loupe. And BIS's own FAQ still describes printing HUID on the invoice as voluntary, even though the invoice must carry description, net weight, purity and hallmarking charges. In practice almost every jewellery ERP in India now prints it, because customers verify it in BIS CARE and it is the only identifier that survives the piece leaving the shop.

The piece record: HUID as the key

Before buying hardware, look at what your ERP stores per article. A workable piece record has at minimum the HUID (or an exempt flag), an item code, gross and net weight, stone weight and purity, a location (tray, showcase, safe, out on approval), a status (in stock, reserved, sold, at repair) and the RFID tag identifier currently attached.

Note the last field. The tag ID is a column on the piece record, not the record itself. HUIDs are permanent; tags are not. A tag gets cut off at billing, damaged on a chain, or swapped when a piece comes back from repair, so the software must let you re-associate a fresh tag to the same HUID without touching any other data. If a vendor proposes encoding the HUID into the tag as the only link, ask what happens to items that legally have no HUID (articles under two grams and pieces at jewellers below the turnover threshold are currently exempt) or to loose stones and findings.

How the tag gets associated with the HUID

The association happens once, at inward, when a hallmarked lot returns from the AHC or a finished piece arrives from a karigar or vendor:

  1. Create or open the piece record in the ERP with HUID, weights and purity. Where the AHC provides a digital job sheet, this is an import rather than typing.
  2. Attach a blank tag physically: a loop or tie tag through a ring shank or bangle, a flag label on an earring card, a micro label on the back of a pendant box.
  3. Place the piece on a USB desktop reader such as the Identium 103UDR. It reads the tag's EPC and either types it into the focused ERP field (HID keyboard mode) or posts it to a URL (HTTP push), so no driver work is needed on the ERP side.
  4. The ERP writes the mapping tag ID to piece ID to HUID and moves the piece to its home tray.

Two design choices matter. Factory-encoded EPCs are unique enough for one showroom, but a chain moving stock between branches should batch-write a structured EPC (company code, item ID, check digit) so any branch reader resolves the tag without a lookup. And writing the HUID into the tag's user memory is a harmless redundancy for counts while the ERP is down, but must never be the master copy.

Billing: pulling the HUID at the counter

At the sales counter the reader is another input device beside the barcode gun and the scale. The salesperson places the selected pieces on the pad; the ERP resolves each tag to its record and pre-fills the invoice with description, HUID, gross and net weight, purity, and the day's rate and making charges. The customer's copy shows the same HUID engraved on the piece, which is what they verify in BIS CARE. Where the ERP is connected to BIS's systems through an AHC or hallmarking software, the HUID is cross-checked at billing rather than typed from a paper job sheet.

After payment the tag is cut off and killed or binned for reuse, and status flips to sold so the piece stops appearing on any count. Returns reverse the process: attach a tag, re-associate to the existing HUID record, and the piece is back in stock without a new item code.

Tray and showcase counting on a desktop reader

The counting problem in an Indian showroom is well known: opening and closing counts by hand, weekly full audits, and a blame cycle whenever a piece is short. RFID does not remove the discipline, but it changes what a count costs. A tray of 30 to 60 rings on a UHF desktop pad reads in a few seconds; the software compares against the ERP's expected contents for that tray and shows a variance list, not a total.

Realistic expectations:

For a chain of showrooms, tray reads feed the same stock view that a handheld sweep of the safe or a receiving scan feeds. Tag form factors: which one reads on which item

The right tag depends more on the item and how it is displayed than on the frequency. Prices are indicative component bands at volumes typical for a single showroom or small chain, and vary with quantity, chip and supplier.

The pattern is clear: UHF works on jewellery when the tag design keeps the antenna off the metal, which is why loop and flag formats dominate, and a UHF sticker flat on a ring does not read reliably whatever the reader setting.

Why reads fail on dense metal, and why HF is still around

UHF tags are dipole antennas tuned for air. Flat on a conductive surface, the metal detunes them and read range collapses from metres to nothing; a tag in the shadow of a thick bangle in a packed tray may not be energised at all. Both problems are solved by geometry, not power: a flag or loop that stands off the metal, a slotted tray, and a pad antenna directly under it.

HF uses inductive coupling. Its range is a few centimetres by design, but a small loop next to gold couples far more predictably than a UHF dipole, which is why many smart-tray and showcase installations still run on HF. The trade-off is throughput: an HF tray reader counts one tray in place very reliably; a UHF pad or handheld counts faster and from a little further, but only with tags designed for the item. Where RFID is the wrong tool for a jeweller

Jewellery RFID vendors in India rarely publish prices, so here are the components and their realistic bands. They are indicative, exclude GST, and are meant to sanity-check a quote rather than replace one.

A single showroom starting with two desktop readers, tags for its live stock and an ERP integration is therefore a low-to-mid six-figure rupee to low-six-figure rupee project. Budgets balloon with smart-showcase furniture across many counters; do that once tray counting has proved its value.

Shrinkage, approvals and the audit trail

The same reads that speed up counting produce a custody trail: which tray a piece was in at opening, whether it touched the billing pad, whether it went out on approval or to a repair karigar. Missing pieces become a short list of last-known locations. A practical starting sequence

  1. Confirm your ERP stores HUID per piece and can accept keyboard or HTTP input for a tag ID.
  2. Pick one showroom and one category (rings are easiest, chains hardest) and tag its live stock at the next hallmarked inward.
  3. Put one desktop reader on the billing counter and one at the back for opening and closing counts. Run both alongside the manual count for a month and compare variance lists.
  4. Only then choose between UHF pads plus handhelds and HF smart trays for the rest of the store.

Can the HUID itself be read by an RFID reader?

No. The HUID is a six-character laser engraving on the metal that you read under a loupe or look up in the BIS CARE app. RFID adds a separate tag whose ID is mapped to the HUID inside your ERP, so a reader resolves the tag to the piece and its HUID without touching it.

Should we encode the HUID directly into the RFID tag?

Keep the HUID in the ERP as the master record and treat the tag ID as a column on that record. Do UHF RFID tags actually read on gold and silver?

Yes, provided the tag design keeps the antenna a few millimetres off the metal, which is what loop, tie and flag-label formats do. A UHF sticker pressed flat onto a ring will not read reliably. HF tags in slotted trays with an HF antenna are also common in jewellery because inductive coupling is less disturbed by metal at short range.

How does tray counting on a desktop reader compare with a manual count?

A slotted tray of 30 to 60 pieces reads on a UHF pad in a few seconds, and the software returns a variance list against the ERP's expected contents rather than a bare total. You still check the one or two pieces flagged as unread by hand, but a full opening or closing count drops from a lengthy ritual to a few minutes per counter.
